Generate

Produce an actual letter for a recipient from a template, with a live preview, download, and print.

Generate is where you produce an actual letter — pick a template and a recipient, and SigmaTurn fills in the placeholders automatically from that employee's record.

Generating a letter

  1. 1Go to Letter → Generate and click Add New.
  2. 2Pick a Letter Type (template) — its default body text loads in automatically — and a recipient: choose an existing Employee Name to auto-fill all their details, or type a free-text name for someone who isn't in the system (only their name will fill in, since the rest of the placeholders need an employee record).
  3. 3Adjust the Description body text and the page margins under Adjust space setting — Left, Right, Top, and Bottom in pixels (each defaults to 20).
  4. 4Insert any placeholder you need from the Available Variables list at the bottom of the editor — click one to drop it into the body.
  5. 5Watch Preview Letter on the right update live as you edit, with real values filled in — you can Download or Print a one-off PDF straight from it even before saving, handy while you're still drafting.
  6. 6Save (Update on an existing letter) once it's ready.

Finding and editing letters

The list shows Employees, Letter Type, Created, and Action. Opening a letter to edit it shows Letter Details on the left and a live Preview Letter on the right (with Download and Print buttons) — but Letter Type and Employee Name are locked once a letter exists, shown greyed out; only its body text and margins can be changed after the fact.

Key fields

  • Letter Type used, and recipient (Employee Name or free-text name, locked after creation)
  • Description (body text), and page margins (Left/Right/Top/Bottom in pixels)

A letter's placeholders are filled in fresh every time you view or download it, not when it was first created — so if you correct an employee's record later (like their joining date), a letter generated earlier will show the corrected value the next time it's viewed or downloaded.

Once a letter is generated, you can't switch its Letter Type or reassign it to a different Employee Name from the edit screen — both are shown locked; only the body text and margins stay editable.

Yes — type their name as free text instead of picking an employee, though only the name placeholder will fill in; the rest stay blank.

Yes — placeholders are resolved at view/download time, so a later view or download will reflect the corrected information.

No — Letter Type and Employee Name are locked once a letter exists; only its body text and page margins can still be edited.

Yes — Preview Letter updates live as you edit, and you can Download or Print directly from it.
